Minutes 12.09.2008

Agenda

Tuesday December 9th, 2008

6:30 p.m. Mills Library

I. Call to OrderÌý

II. Special Business

  • Rachel Kincannon resigns from her position as the Social Committee’s Director of Publicity simply because she does not have the energy for it and feels that someone with more energy would be better for the position. It has been a fun year. She will do everything she can to make this transition for a new SoCo Exec. Just let her know if you’ll need her.ÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌý

III. Announcements and Constituent Concerns

  • Complaints about the library computer lab temperature being too hot—Fraser will talk with the library people and Lydia will talk with Physical Plant.
  • Mabee Center is being torn down this break? No… it won’t happen until March.
  • There may be a bubble put around the outdoor tennis courts when the Mabee Center is demolished. Chance is concerned about Judo and wants to make sure they still have a place.Ìý

IV. Departmental Liaison Reports

  • From now on Lydia will meet with Loyd Ryan, Gray, Sublett, Russell, and co. who meet every Tuesday anyway. So if you have any concerns that those kids can help you with, let her know!
  • Bike racks are coming to ºÚÁϲ»´òìÈ over break!
  • Couch trash can costs $600. There was not one there initially.
  • Peep holes in the back of FS and Huntington soon!
  • Energy competition is definitely possible since every place of residence has a meter.
  • Light on southwest corner of Martin is broken weekly (side that faces DW and Buhler). Lights on campus that are shining into the rooms and bothering people cost 600 each to replace. Please don’t break them. Holler if they are bothering you and we can adjust.
  • Mills is getting trashed every night. If this persists, Lyle will lock it. Chalk is being crushed, being thrown around, etc.
  • Sneaking into job site—paint spilling on cement, etc… no good. This will cost more and is not energy efficient!
  • Primp your ride coming your way: Monday, Tuesday, Wednesday 8-5
  • Forum for the WAC next semester!Ìý

V. Committee Reports

  • Finance Committee with Alex Graddy-Reed
    • KHDX (see request below). APPROVED: $20,000!
    • Making any future promises with the money we have now is like the seniors graduating are losing the money they paid for their student activity fee, which isn’t fair. Let’s spend it and get cool bands or whatever you want to spend it on!
  • Student and Academic Concerns Committee with Samantha Bode and Jayce HafnerÌýÌý
  • Media Committee with Fraser HolmesÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌý
    • Yearbook met with Fraser. Profile came out Friday! Get yours.Ìý
  • Multicultural Development Committee
    • Planning for spring is commencing. Reorganizing leadership.
    • Ronni will be meeting monthly with diversity concerns committeeÌýÌý
  • Social Committee with Jake EddingtonÌý
    • SoCo wants to recommend a person to replace Rachel as Director of Publicity.
    • Any interested for the position can definitely e-mail Jake though.Ìý
  • Volunteer Action Committee with Larnie CampbellÌýÌý
  • Residence Life Committee With Mac BarnesÌýÌý
  • Campus Kitty with Alex Graddy-ReedÌýÌýÌýÌýÌý
    • If you want any mistletoe… she’s got it!
    • Faculty Variety Show was a success, Holiday Bazaar went well, and Campus Kitty week is next semester!Ìý
  • Environmental Concerns Committee with Wendell Cathcart and Katherine Roehm
    • Corn starch plastic cups will be here next semester!
    • Paying for first month of cups out of their budget, so a request is on the way!Ìý
  • Academic Policy with Samantha BodeÌý
  • Communications Committee with Kristi Vo
    • NOTES: I need some from a few of you still…
    • Guess that Senator coming next semester
    • Still need to build a Complaint/Suggestion box for the BurrowÌý
  • Committee on Committees with Nick Balée
    • Met with the Dean yesterday and he gave us a nice hand out
    • Talked about how we’re going to go about the handbook
    • Meet about corrections, suggestions, and etc. with Student Life CommitteeÌý
  • Executive Committee with BJ Fogleman
    • Looking into next semester? BJ totaled up his hours… 1000+ without counting shirttails. Just keep in mind how much time this, especially exec positions, takes.
    • Happy holidays! Regret we couldn’t be here tonight—Jim and Karla
    • So proud of the work senate has done this semester and can’t wait to see what 2009 brings—Jim!
    • Interested in shirttails and welcome week: hollerÌý at Nick
    • Official advisor for next semester: Dr. Campbell!Ìý

VI. Unfinished Business

  • Notes that are late—we will forgive for last week and this week’s minutes. We understand that it is hard to get things out on time. Absences are not okay though.ÌýÌý

VII. New Business

  • Great job this semester team. Good luck on finals and everything! See you next semester.Ìý

This is the Campus Kitty Kick Off concert, a very popular event on campus and one of the

two that KHDX is in charge of every year. The Welcome Week Concert Featuring OK Go

was extremely successful. We are requesting additional funding to put on another great show

with a well known artist.

we have not officially booked any artist yet, and the artists listed are not guaranteed.

This proposal is to allow us to broaden our choices beyond the 10k range. We have looked into

Ìýmany artists for pricing and availability in order to give you an idea of how just a little

Ìý

OK GO Concert Spending History:

Artist Fee: ÌýÌýÌýÌýÌý$30,000.ÌýLast spring we were allotted 30k, and 20k for each artist fee

Production: ÌýÌýÌý$16,350.ÌýThis was more than our spring allocation allotted, because last year’s proposer did not know that the more expensive artists -- which we were approved to buy per last spring’s allocation -- would have more expensive production fees. We were then legally obligated to provide this production. The allocation for last spring approved about 5k for production of each show. The spring artist is likely to need about the same if we get an artist who costs 25k or more. While it is more expensive, it does make for a much better show. However, it always depends on the artist.

Flights: ÌýÌýÌýÌýÌýÌýÌýÌýÌýÌý$3,685.98

Hotels: ÌýÌýÌýÌýÌýÌýÌýÌýÌýÌý$1,845.52Ìýarranged by Tonya Hale. 6 people for 2 nights. This is more than what Senate agrees to pay for student trips, however for artists who come to campus it is standard to buy each member of the band their own room and to stay at a better accommodation.

Van Rental: ÌýÌýÌý$ 110.70ÌýFor airport pickup/drop-off and general chauffeuring of band

Catering: ÌýÌýÌýÌýÌýÌýÌý$277.50ÌýThis included food for OK Go and for the production team, and is essential to the concert.

Fence/Labor: $125.00ÌýPhysical plant requires rental of the fence plus labor.

Security: ÌýÌýÌýÌýÌýÌýÌýÌý$562.50Ìýarranged by Rick Sublett. 6 officers for 3 hours.

Toilets: ÌýÌýÌýÌýÌýÌýÌýÌýÌýÌý $86.60

Net T-shirt cost: $189.50ÌýThis is cost of 500 kick-ass t-shirts minus sales of said shirts.

TOTAL COST FOR OK GO: $53,233.30

Ìý

Ìý

KHDX Senate Allocation:ÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌý$70,000

Estimated amount available in the spring: ÌýÌýÌýÌý $16,788.50

We pay three members of KHDX staff a salary, (1 at $100/month, 2 at $50.month for 7 months, and need to pay the salaries 4 more times.) cumulatively totaling $1,400, plus a phone bill that is about 5 dollars a semester.

This leaves us at an estimated $16,000 for the spring concert

Fundraising initiatives:

ÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌý- Holliday Bizarre, T-shirt Sale

ÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌý- Valentines Day Care Package, $25 per package. Last year, made a little over 700 dollars from the care packages, but it is unknown how much KHDX will make from these initiatives this year.

We will also apply for a SIP Grant, of $1,000. This is also not guaranteed because of competition for SIP Grants.

Ìý

Itemized Budget Proposal for additional funding for Spring Concert:

Before Artist Fee, total requested on items 1-8: $13,634.80

9. Artist Fee:

ÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýWe have tentative ideas for the artists. No one has been booked yet because we wanted to know how much money we could spend, unlike other clubs who book an artist they can’t afford and then come for discretionary.

Tentative ideas include:

ÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýLucero: ÌýÌýÌýÌýÌýÌýÌýÌýÌýÌý $7-10,000

The Cool Kids: $10,000 (They are interested in this concert date and available)

ÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýRatatat:ÌýÌýÌýÌýÌýÌýÌýÌýÌýÌý $10,000

The Flobots:ÌýÌýÌý $15,000

ÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýHellogoodbye: $15,000

MXPX:ÌýÌýÌýÌýÌýÌýÌýÌýÌýÌý $15,000

For above artists and artists likeÌýthese, we can handle the artist fee if we are approved funding on items 1-8.

ÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýChamillionaire: $20,000

ÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýAugustana: ÌýÌýÌýÌý $20,000

ÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýOld 97’sÌýÌýÌýÌýÌýÌýÌýÌýÌý $20,000

ÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýState Radio:ÌýÌýÌý $25,000

MGMT: ÌýÌýÌýÌýÌýÌýÌýÌýÌý Ìý$20-30,000

For 5 above artists, and artists like them, we are asking for an additional $15,000, which goes for the artist fee plus a little more for production.

ÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýBen Folds:ÌýÌýÌýÌýÌýÌý $40,000

ÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýDecemberists:Ìý $50,000

ÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýParamore:ÌýÌýÌýÌýÌýÌýÌý $60,000

For 3 above artists, and artists like them, we would need at least an additionalÌý $30,000.

ÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýThe White Stripes: $150,000

ÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýPanic! At the Disco: $150,000

ÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýBrittney Spears:ÌýÌý $200,000

ÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýRhianna:ÌýÌýÌýÌýÌýÌýÌýÌýÌý $100,000

ÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýPrince:ÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌý $200,000

ÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýThe Foo Fighters:$300,000.

ÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýMadonna:ÌýÌýÌýÌýÌýÌýÌý $400,000+

For 7 above artists, we are asking for nothing because we know that is redonkulous. I just wanted to see Alex drool.

ÌýÌýÌýÌýÌýÌýÌýÌýÌý

So, the total additional funding from our spring allotment we are requesting is at least $13, 634.80.ÌýThe median we are asking for is $18,634.80. The most we are asking for is $43,634.80.
